A complete bid package does more than make estimating faster. It gives every bidder a clearer view of the same project, reduces preventable back-and-forth, and creates a better record of what was priced.

Project overview
Project name, site address, commercial project type, general contractor, bid contact, and current project stage.

Issued documents
Current plumbing drawings, relevant architectural sheets, specifications, schedules, details, and issued addenda.

Bid instructions
Due date and time, submission method, proposal format, required forms, alternates, allowances, and scope breakdowns.

Project schedule
Anticipated award, mobilization, milestones, phased turnover, working-hour constraints, and target completion.

Scope context
Demolition, existing-condition information, owner-furnished items, equipment responsibilities, and known trade interfaces.

Commercial requirements
Insurance, bonding, prequalification, contract form, payment terms, retainage, and other bid prerequisites when applicable.

Open questions
A single, visible list of RFIs, clarifications, document conflicts, and decisions that could change the bid basis.

Revision control
A record of which drawing set, specification issue, and addenda were used for the proposal.
Separate what is known from what is assumed.
When a document is missing or a condition is unknown, name the gap. An explicit clarification is easier to manage than two teams pricing different assumptions. The appropriate design professional or project authority should resolve technical requirements.
